Thespotlightcircle operates this site and the booking desk behind it, with offices in Nashville, Los Angeles and London. We are the controller of the personal information described here.

2. What we collect

Enquiry details you give us: your name, email address, organisation, venue, city, capacity, date, budget and any notes you add to the form.

Correspondence: emails and call notes relating to an enquiry or booking.

Technical data: IP address, browser type and pages visited, collected to keep the site secure and understand which parts of the roster are used.

3. Why we use it

To answer your enquiry, check availability and prepare an offer. To administer a confirmed booking, including advancing the show with the venue and artist team. To meet legal, tax and accounting obligations. To improve the site and prevent abuse.

Our lawful bases are performance of a contract, our legitimate interest in running a booking business, and consent where we send optional roster updates.

4. Who we share it with

Artists and their management, where sharing is necessary to answer your enquiry. Venues, promoters and production suppliers involved in a confirmed show. Service providers who host our systems and send our email, under contract. Authorities where the law requires it.

We never sell your personal information and we do not share it for third-party advertising.

5. International transfers

We operate across the US, UK and EU, so information may be transferred between those regions. Where we transfer personal data out of the UK or EEA we rely on appropriate safeguards such as standard contractual clauses.

6. How long we keep it

Enquiries that do not become bookings are kept for 24 months so we can pick up the conversation next season. Records relating to confirmed bookings are kept for seven years to meet contractual and tax requirements.

7. Your rights

Depending on where you live, you may ask for a copy of your information, correct it, delete it, restrict or object to its use, or ask for it in portable form. You can withdraw consent to optional updates at any time using the link in any email.
